Activating Multi-factor Authentication on Microsoft 365

To enhance security, students and faculty are advised to enable Two-Factor Authentication (2FA) for their Microsoft 365 account.


You can do this by installing an authenticator app like Microsoft Authenticator, Google Authenticator, or Authy on your mobile device. For ease of use, we recommend using Google Authenticator


To activate, ensure you have the authenticator app installed on your device. Launch it and follow the prompts to set up 2FA in the Microsoft 365 account settings.

Using the Google Authenticator App

Open the Authenticator app, tap on the + sign at the bottom left and select Scan a QR Code.

Scan the QR code on your computer screen and tap next.

Enter the six-digit code generated by your authenticator device to complete the setup.

It will also ask to include your mobile number as an additional measure. 

Using the Microsoft Authenticator App

If you are using Microsoft Authenticator App, you can follow the instructions below:


Download the app from your respective app store and open the authenticator app.

Tap Add Work/School account.


You'll be presented with two options - to scan a QR code or Sign in.

Choose Scan QR code and scan the code on your system as presented.


Once scanned you should see the name of the account. Tap on it to see the time-based 6-digit code. The code renews every 30 seconds.


Tap next on your system and enter the 6-digit code from your mobile device into the space provided.


In other cases, you can be presented with a two-digit code from your system or mobile device and asked to provide it to confirm.


Tap Next to complete the authentication process.


Security Measures for Microsoft Account

It is important that you use strong, unique passwords for your Microsoft 365 account.

It is also recommended to practice regular password changes every three months. You can use a password manager like Dashlane, LastPass, Bitwarden, Google Password Manager etc. In whatever situation, don’t share your login credentials.

It is important to recognize suspicious emails, links, and attachments which can be used in phishing attacks. Never click on a link without knowing exactly where it goes.

2FA provides an additional layer of protection beyond traditional passwords. 2FA safeguards your online presence and prevents unauthorized access to your email, thereby protecting your digital identity.
